Practice Manager/Director of Operations

Reports to CEO/Chief Marketing Officer

Primary Responsibilities:

  • Revenue generation from Medspa treatment and products
  • Revenue generation from Plastic Surgery Procedures
  • Revenue generation from treatments and products
  • Five-star patient experience delivery for patient retention,
  • Patient delivery procedure scheduling, patient medical clearance operations, pre and post-delivery patient care support
  • Patient photo collection, review and referral collection process management
  • HR operations that include office staffing and management as well as medical compliance management of staff and the facility appearance, and equipment maintenance.

Duties include by not limited to:

  • Direct daily office operations to optimize patient office flow, service deliver for an exceptional patient experience
  • Maintain efficient appointment scheduling, registration, patient flow to maximize patient satisfaction and physician productivity
  • Schedule surgical and other procedures
  • Coordinate patient cosmetic consultations and support patient sales as required
  • Ensure all patient files in the NEXTECH EMR system are accurate
  • Coordinate with Surgical Supervisor to maintain proper inventory of Medical Supplies, Patient products, and Office supplies
  • Oversee certain financial aspects of the business, such as weekly deposit reports and collecting patient deposits and patient balances prior to surgery
  • Ensure compliance with all Company directives to include patient privacy initiatives as well as employee safety.
  • Ensure compliance with Federal and State employment regulations, OSHA, HHS and labor laws as directed by the Human Resource Manager
  • Coordinate with the HR manager to address staff issues
  • Conduct regular business and staff performance reviews with Medical Director

Qualifications and Skills:

  • Possess no less than five years of successful experience in managing a mid-to-large volume medical spa office operations and/or multi-unit operation
  • Experience in the Plastic Surgery, Aesthetics or Dermatology disciplines of medicine required.
  • Strong computer skills including Excel and Word
  • Experience with AAAHC, JHACO or AAAASF a plus.
  • Front and Back Office Expertise with running and administering NEXTECH EMR is essential
  • Possess a passion for both the customer and our employee’s experience
  • Possess team building skills with a professional demeanor, outgoing personality and ability to interface with patients.
  • Bachelor's degree or equivalent education/experience.
