Job Description

We are seeking an experienced Executive Assistant to work alongside a busy Medical Director and become an important part of a fast-growing team. This person will be expected to perform a variety of administrative and HR tasks, help keep long-term projects on track, and handle more urgent requirements. An ideal candidate is responsive, thoughtful, self-directed, positive, and seeking a challenging role.

Responsibilities for Executive Assistant

  • Schedule appointments, and maintain and update supervisors’ daily calendar
  • Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports
  • Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly
  • Maintain confidentiality of highly sensitive information
  • Manage complex office administrative work requiring the use of independent judgment and initiative
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications.
  • Secures information by completing database backups.
  • Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.

Qualifications for Executive Assistant

  • Bachelor’s degree required or equivalent work experience
  • 5 years of experience in administrative support functions
  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
  • Proficient in Microsoft Office, Google Drive, and social media web platforms
  • Very strong interpersonal skills and the ability to build relationships with key stakeholders
  • Written and verbal communication skills
  • Reporting skills

  • Office equipment maintenance
