Busy Houston-based Cosmetic Plastic Surgery practice seeking a Bilingual Front Desk Coordinator.

The Front Desk Coordinator must be friendly, accommodating and provide concierge level care. The Front Desk Coordinator is the first point of contact and will be the face of the practice. Ability to help communicate with patients in Spanish is necessary.

Duties include offering administrative support across the organization. You will warmly welcome our patients and greet vendors/non-patients who visit the business. You will also educate, schedule, check in/out patients and room patients as needed. Your main role is to be to answer all incoming phone calls, explain certain procedures and products, send out and reply to patient email correspondence, and redirecting phone calls to other staff members.

A well rounded Front Desk Coordinator possesses a pleasant personality and can communicate efficiently yet professionally, as this is also a customer service role. Being able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This is a full time position.

A Front Desk Coordinator’s duties and responsibilities ultimately are to ensure the front desk welcomes patients positively, and executes all administrative tasks to the most discreet yet highest quality standards.


  • Greet and welcome patients and non-patient visitors as soon as they arrive at the office
  • Offer refreshments to guests – to elevate the patient experience
  • Have patient complete necessary paperwork
  • Screen and direct all non-patient visitors to the appropriate personnel if possible or defer to email contact
  • Answer, screen and forward incoming phone calls
  • Ensure lobby, reception area and all patient exam room are tidy and presentable, with all necessary stationery and material (e.g. pens, patient forms/consent and brochures)
  • Provide descriptive and accurate information in-person and via phone/email/text
  • Receive, sort and distribute daily mail/deliveries
  • Handle cash, credit card, check and gift card transactions
  • Order front office supplies and keep inventory of needed supplies/products
  • Update calendars and schedule meetings
  • Data entry into patient charts, keeping accurate records and generating quotes
  • Perform other clerical receptionist duties such as photocopying, scanning and faxing


  • Previous cosmetic office work experience in Plastic Surgery or Dermatology is required
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Fluent in Spanish
  • Positive attitude, professional attire and clean cut, presentable appearance
  • Excellent written and verbal communication skills
  • Ability to be flexible and resourceful yet discreet when proactively resolving issue
