Job Description

We are a busy Aesthetic and Plastic Surgery Practice looking for an Office Manager. This position requires a client-focused individual that is reliable, well-organized, and possesses strong leadership qualities. Our ideal candidate is compassionate, reliable, patient, loves a challenge, and efficient at juggling tasks with focus and the proper sense of urgency.

The Office Manager will be responsible for handling day-to-day operations with a focus on efficiency, accuracy and time management. The work entails carrying out financial/office responsibilities in accordance with the Practice’s policies and applicable laws. You will be responsible for intra-office communication, streamlining operations, inventory control, office staff support and task delegation.

This position requires wearing multiple hats that will require a leadership mentality and strong communication skills that will mold a cohesive work environment.

  • Oversee personnel on office standard operations and procedures
  • Serve as a liaison between providers and employees
  • Maintain individuals time clock punches, including time off requests
  • Responsible for processing and recording payroll
  • Maintain up to date office staff personnel files
  • Have strong operating knowledge of clinics EMR software with ability to provide basic troubleshooting tasks as needed
  • Maintain state and federal compliance such as OSHA, and HIPAA
  • Must be able to research and resolve discrepancies.
  • Checks and verifies data entry for completeness and accuracy.
  • Daily account reconciliations
  • Assists in month end reporting
  • Ensures all monies collected balance daily
  • Performs other job-related duties as required.
  • Support and report to the Practice Administrator/Medical Director
  • Proficient communication and presentation skills.
  • Interpersonal skills to deal with internal and external communications, including senior management.
  • Ability to work with deadlines and to effectively multi-task.
  • Attention to detail and accuracy.
  • Knowledge of Microsoft Office, PatientNow, TouchMD
