Job Summary:

The Front Desk/Guest Relations Team position represents our Plastic Surgery and Aesthetic Center.  This person is responsible for creating a positive first and last impression with patients.

Responsibilities include the following:

  • Running a smooth and efficient front office.
  • Greeting of all patients with a smile and enthusiasm
  • Answering phone calls timely with a keen understanding of aesthetic procedures
  • Ensure all questions and objections are addressed with the goal of booking the patient for a consultation.
  • Responsible for scheduling, invoicing, upselling products or retail, confirming all appointments, checking patients in and out, and pre-booking their next appointment.
  • As a member of the Guest Relations Team, you will also be responsible to educate clients about all of our loyalty and referral programs, discuss in-office promotions, and asking happy patients to write a Yelp or Google review.
  • As part of our guest experience, the guest relations team is also responsible for the staging and optics of the reception and private waiting areas.

Job Goal:

To create a 5 Star patient experience.  To have strong work ethic and manage graciously the patient flow and experience throughout the office. To capture all lead information and convert to consultation or appointment.

Duties and Responsibilities:

  • Assist Practice Manager in ordering and managing inventory when delegated.
  • Assist management in monitoring the ongoing progress and compliance with various front desk projects including, but not limited to, new client leads, rewards programs, office promotions, and online reviews.
  • Accurately book, change and cancel appointments. Manage the schedule and create invoices. Look up Reward Program Points/Sign Up New Clients prior to check out.
  • Manage new patient enrollment in our membership program and adhere to company goals
  • Provide detailed descriptions of treatments, packages, services, facility features, and hours of operation.
  • Utilize computers with skill and proficiency. Practice Management Software, Excel, and Word
  • Support weekly social media updates
  • Maintain the patient management software, with accurate information and scanning in a timely fashion. All data entered within the week.
  • Actively promote the treatments, services, and retail, as well as programs and promotions
  • Provide accurate, appropriate and immediate responses to all requests by patients, ensuring complete patient satisfaction.
  • Work with Manager to handle and cross-check all inventory for accurate counts
  • Maintain a positive attitude and contribute toward a quality work environment.
  • Takes initiative and contributes to the growth and efficiency of the practice.
  • Train and assist new staff

2+ years experience client facing and customer service in medical aesthetics preferred.
