Medical Aesthetic Business Operations Manager

Full Time


This Manager assumes front line responsibility and authority for all day-to-day functions and departments of the practice. We are seeking an experienced and polished professional to oversee the daily operations of our Medispa, and its associated revenue centers, and several HR functions. This is a full-time position and requires a well-organized individual possessing excellent organizational, personnel management, and communication skills. This person must have experience managing a medical practice in the related field, and strong business and financial acumen. This is a high-energy position that requires making decisions and multi-tasking in a fast-paced environment. This candidate must also possess the ability and service knowledge to develop relationships with patients, oversee sales and promotions, and manage the team in multiple profit centers.

Base salary plus incentive compensation

  1. Responsible for management of day-to-day activities
  2. Ability to lead a team and create a strong culture/work environment
  3. Create quality control and process improvement to streamline office efficiencies
  4. Oversee staffing and scheduling
  5. Assist in resolving any patient concerns/problems
  6. Responsible for HIPAA compliance and patient privacy oversight
  7. Responsible for inventory and quality control
  8. Assist in development and management of marketing strategies to maximize patient volume
  9. Manage to financial performance metrics established by company
  10. Assist management where needed with vendor contract negotiations, etc.

Staff Management & Development

  1. Responsible for management and supervision of the team
  2. Responsible for team scheduling and office coverage
  3. Recruitment and recommendations of potential employees including hiring
  4. Develop and execute employee and operational policies and procedures
  5. Train and develop employees individually and as a team
  6. Maintain employee personnel records
  7. Responsible for team compensation review and performance appraisals
  8. Responsible for termination of employees in accordance with labor laws
  9. Conduct regular team meetings and skills training


  1. Responsible for achieving gross revenue and financial performance goals pursuant to the business plan
  2. Participate in management review of financial reports
  3. Assist management where needed with accounts payable transactions
  4. Assist management where needed in updating the business plan


  1. Knowledge of all products, services, and procedures in order to work with management to build out and co-manage 12-month marketing growth plans
  2. Work with management to create strong alliances and partnerships with all vendors and corporate/community partners to ensure marketing plans are effectively implemented and accomplished
  3. Work with management to ensure ongoing success of website, SEO, and social media presence and initiatives
  4. Organize onsite and offsite promotional events and corporate promotions with local businesses, and community involvement

Information Technology

  1. Strong knowledge of practice management and EMR software
  2. Responsible for educating team on software functionality, and overall efficiency of software
  3. Assist management with vendor relationships
  4. Assist management in managing computer and technology needs

Patient Relations

  1. Responsible for excellent patient relationships, and ensuring processes are in place to provide the highest level of patient satisfaction
  2. Responsible for patient bookings; minimum 80-90%
  3. Responsible for ensuring patients have a lasting experience; 80% minimum retention rate
  4. Responsible for proactive and timely responses and/or resolutions to patient questions and complaints
  5. Instill a strong patient-friendly and caring relationship with the team


  1. Bachelor’s degree or MBA preferred in either business administration or related degree
  2. 3+ years Management experience and Practice Manager in a related field
  3. Strong knowledge and understanding of discretionary income medical/ cosmetic marketplace
  4. Expert knowledge of medical practice operations (preferably Plastic and/or Cosmetic) in an electronic medical records (EMR) environment
  5. Proven track record of managing a medical practice (preferably Plastic and/or Cosmetic)
  6. Proficient in Microsoft Office, Excel, Powerpoint
  7. Proficient in use of medical practice management and EMR
  8. Efficient, organized, and resourceful
  9. Strong decision-making skills
  10. Excellent oral and written communication skills
  11. Strong attention to detail with an ability to articulate vision and objectives
  12. Strong service oriented leadership skills
