As the Office Manager of a well established aesthetic clinic, your day is quite diversified. This position is responsible for the smooth operation of the spa in general, maximizing scheduling/revenue and compliance. You’ll oversee all Scheduling Coordinator Staff members, ensure all policies and procedures are being followed/implemented, provide training and mentoring while ensuring revenue is maximized via proper scheduling and solid business decision making based on doing not only what is right for the customer but for the practice as well.

This position reports directly to the General Manager and the Medical Director Director. The primary function of the role of the Spa Manager is to support services provided by the Physician Assistants, RNs, Aestheticians and other front office employees. Help facilitate a smooth, efficient and orderly flow of the work day. We believe all management staff is responsible to lead by example, empowering the staff to follow that lead and nurturing employees to excel at whatever task they are asked to complete.

We are a leading provider of non-invasive and minimally invasive skin and body rejuvenation medical procedures. Treatments include Botox and Filler, Stem Cell Treatments, PRP Therapy (Platelet Rich Plasma) for hair restoration and regrowth, Skin Rejuvenation, ThermiVa vaginal rejuvenation (alternative to vaginaplasty or labiaplasty), Fotofacial RF, Sublime (improved version of Refirme), Matrix Sublative, FDA cleared lasers for Melasma, VelaShape (Vela Shape), CoolSculpting, LipoLite, Laser Liposuction, VASER Liposculpture, Natural Breast Augmentation, Fat Transfer, Chemical peels, Medical Grade Facials, microdermabrasion, and laser hair removal.

Daily Requirements:

Oversee and manage daily operations of the medical spa and ensure smooth operations and maximum profitability.
Supervise the performance, attendance, attitudes, appearance and conduct of the staff
Interact with customers to increase closure rates of services sold and multiple treatment packages as well as build relationships and customer loyalty
Offer EXCEPTIONAL customer service and create a 5 star environment
Be responsible for and work to maximize revenues during evening sales events
Closely monitor ordering, receiving and crediting of retail products, office supplies and other goods and services
Closely monitor retail pricing of services as well as special promotional pricing with managerial authority to specifically tailor individual specific pricing in cases where warranted
Monitor retail inventory and security measures to make sure that theft is thwarted
Ensure the Spa policies and procedures are maintained and adhered to by staff.
Maintain consistent and efficient systems of communication within and outside the Spa
Assist with the implementation and development of the business plan to ensure that overall operation, growth and long-range profitability goals are achieved
Maximize revenues by assisting staff in closing sales for packages and additional treatments and services as needed
Prepare employee performance reviews and appraisals.

Skills & Qualifications:

Minimum of two years of management experience
Miniumum of 1 year of experience with Coolsculpting consults and treatment
Minimum of two recent years in the medical spa/ aesthetics or plastic surgery
Experience managing P&L and maximizing profit generation
Must know how to drive sales and create and meet financial goals
Must possess exceptional leadership, organizational and management skill. This skill set must be verifiable. i.e, through references, company success etc…
Excellent communication, interpersonal and phone skills.
Sales – Ability to sell products and services on phone and in person.
Ability to multi-task in a busy practice.
Must be able to work independently and make sound & good decisions.
Values and improves patient and customer satisfaction.
Highly organized, excellent written and verbal communication skills.
Advanced Computer literacy a must
Brings energy, enthusiasm, and a positive attitude to the position.
Enjoy interacting with patients and team members.
Minimum 4 years of general Medical Office/Business experience.
Requires reasoning ability, critical thinking and application skills and good independent judgment.
Ability to interact with customers on a personal and professional level.
Must project utmost professionalism through a polished image accompanied by extensive service and product knowledge.

General hours for this position are 9am-6pm. Position is for immediate hire.
