This world-class plastic surgery practice in Bellevue is looking for a full-time Front Office Coordinator . This is a boutique practice that has strict standards of service and care. The Office Coordinator ensures efficient functioning of office processes along with coordination of all patient  inquiries, consultations and triaging patient correspondences. 


  • Strong communication skills with staff, ancillary personnel
  • At least one year of supervisory experience 
  • Ability to recommend and implement new protocols 
  • Ability to train other employees 
  • Comfortable using email and interacting with Internet applications 
  • Knowledge of practice management and word processing software 
  • Good analytical and problem-solving skills 
  • Ability to prioritize work flow in a fast-paced environment 
  • Patient triage in the office 
  • Clear understanding of the financial structure of the practice 

Responsibilities include, but are not limited to: 

Administrative and Supervisory 

  • Develops, manages, and updates surgeon and other provider scheduling templates for automated  scheduling system, based on provider preferences 
  • Develops, maintains, and updates all registration-related forms: registration, charts, clinical history,  etc. 
  • Ensures office staff has adequate tools and equipment to perform their work efficiently: computer  terminals, telephones, space, and access to copier, access to various forms 
  • Hires, or recommends hiring of Front Office personnel 
  • Trains all Front Office staff, and arranges computer training for new hires directly with the practice  management vendor 
  • Ensures Front Office staff understands the importance of customer service and patient relations in a  plastic surgery practice 
  • Develops and manages the schedules of all Front Office personnel 

Reception Services Responsibilities 

The office coordinator maintains detailed knowledge of the responsibilities of all Front Office personnel,  and can step in to each position at any time. 

  • “Opens” the office each day by ensuring the reception area is clean and tidy; puts out refreshments,  replenishes magazines, dusts, straightens, and turns on music 
  • Answers the telephone pleasantly, and by the third ring as often as possible 
  • Appropriately discusses cosmetic consultations, cosmetic procedures and skin care services with  prospective patients over the phone—encourages them to schedule an appointment, or transfers  them to the Patient Coordinator 
  • Schedules patient appointments; explains to new patients which pieces of information they are to  bring, and provides information about the consultation fee  
  • Schedules patient and skin care appointments into the computer—keeps a “cancellation list” and calls  patients if their appointment can be rescheduled to an earlier time  
  • Acts as back-up to the Patient Coordinator; mails new patient letters and packets, as well as pre registers patients during down times 

EDUCATIONAL REQUIREMENTS: Bachelor’s degree preferred but not required
