We are seeking an experienced and polished office manager to oversee the daily operations.  We are a busy medical spa in Beverly Hills offering the latest advancements in non surgical treatments. This is a full-time position and requires a well-organized individual possessing excellent management, organizational, personnel and communication skills. This person must have experience managing a medical spa or is working in a related field like Plastic Surgery/Cosmetic Dermatology. This is a high-energy position that requires you to make decisions and multitask in a fast-paced environment. This candidate must also possess the knowledge and ability to develop relationships with patients, and manage multiple profit centers and staff.

Medical Practice Manager-Job Responsibilities

Administrative:

  • Responsible for management of the day-to-day operations
  • Responsible for Staff and Schedules
  • Responsible for reconciliation of financial statements
  • Assist in resolving any patient concerns/problems
  • Responsible for HIPAA compliance and patient privacy oversight
  • Responsible for inventory, ordering and maintaining adequate levels of office and medical supplies
  • Work closely with Director to coordinate and assist in execution and implementation of marketing strategy to maximize patient volume

Staff Management & Development:

  • Responsible for management/supervision of staff
  • Responsible for staff scheduling and office coverage
  • Assist in recruitment and selection of potential employees
  • Assist in developing, updating and implementing employee operational policies and procedures
  • Assist in developing employees individually and as a team
  • Responsible for maintaining employee personnel records
  • Responsible for staff salary review and performance appraisals
  • Responsible for termination of employees in accordance with CA labor laws
  • Responsible for staff meetings and skills training

Financial:

  • Responsible for forecasting and hitting monthly goals
  • Responsible for all procedure quotations to patients/front office
  • Responsible for generation of regular financial reports

Marketing:

  • Knowledge of all products, services and procedures
  • Responsible for ongoing coordination and management of marketing plan in conjunction with other support staff and third party service providers

Information Technology:

  • Responsible for managing relationship with information systems and other computer/phone/Internet vendors
  • Responsible for overall efficiency of Patient Now EMR/ Practice Management software

Patient Relations:

  • Responsible to ensure the highest quality of care and patient experience
  • Responsible for ensuring that patients and staff understand the value of our services
  • Responsible for proactive and timely responses and/or resolutions to patient questions/complaints
  • Instill in office staff a strong patient-friendly relationship

Skill Requirements

  • Expert knowledge of medical practice operations, medical spa or Plastic and/or Cosmetic Surgery) in an electronic medical records (EMR) environment
  • Proven track record of managing a medical spa (preferably Plastic and/or Cosmetic Surgery)
  • Proficient in Microsoft Office Suite (primarily Word and Excel)
  • Proficient in use of Patient Mngt Software, (Patient Now and/or NexTech)
  • Efficient, organized, and resourceful
  • Strong decision-making skills
  • Excellent oral and written communication skills
  • Strong attention to detail with an ability to articulate vision and objectives
  • Motivated, energetic, and – Strong leadership skills

Educational Requirements

  • Bachelor’s degree in either business administration or related degree
  • 3+ years management experience preferred
  • Strong knowledge and understanding of discretionary income medical/cosmetic marketplace. .

Working Conditions

  • The hours of operation are Monday-Friday from 9-5 with flexibility starting at 7am on Mondays and when needed later hours. Some evenings and Saturday hours would be expected with meetings, seminars, events, etc.
  • Paid sick, personal and vacation are offered along with all major holidays.
