Practice Administrator/Business Development Director

We are a well-known plastic surgery practice in the Orange County area that prides itself on taking care of its patients. We are looking to add a Practice Director to our clinic that understands our philosophy and can help grow our facility.

Practice Administrator / Business Development Director role:

Ensure patient safety and satisfaction, staff retention and development, practice profitability, and continuous growth. Must know how to grow the business with proven references and verified previous business expansion.

Our Practice Administrator will oversee the day-to-day administrative and operational functions of the practice with multiple locations. 

The perfect candidate must exhibit strong analytical, communication, and people skills. Will assist in the development and execution of the practice business plan and growth strategy which includes oversight of HR, coordinating marketing vendors, communicating with accounting and bookkeeping, and implementing new strategies.

Must be dynamic, energetic, and have a strong understanding of how to grow a business, identify opportunities and independently analyze the feasibility and prepare a business plan to present to the CEO and business consultants.

Must demonstrate the following traits:

  1. Industry Knowledge –

requires a clear understanding of the industry, including technology, fees and finances, AR/AP, reports, retail sales, digital marketing, and clinical staff.

    1. Loyalty –Must always act in the best interest of the company and the company goals. 
    2. Attention to Detail – Timely action to issues and the ability to build and implement standard office operating systems is crucial.
    3. Business Acumen – Solid understanding of profit and loss statements, existing systems and programs, financial policy, patient financing, sales, marketing, and great communication skills.
    4. Confidentiality – Scrupulously maintains the confidentiality required for financial, patient, and employee information.
    5. Honesty – Will set the standard and become a role model for the practice.
  • Professionalism – Professional appearance and matching behavior is key. 

Education and experience:

Bachelors degree in business administration, management healthcare administration or similar 

Minimum five years of medical practice management experience preferably within cosmetic practice and aesthetic industry.

Strong financial background with previous experience in cosmetic surgery/ medical spa or similar fee for service medical practices

Experience in identifying opportunities for growth, developing business opportunities, creating growth opportunities in new patient demographics and new procedures. 

In depth knowledge of compliance, personnel law, workplace safety, and other regulatory issues pertaining to group practice

Healthy micromanager who expects perfection but maintain healthy positive morale within the office 

  1. Ability to anticipate critical issues and and design effective interventions

Responsibilities Will Include but are not limited to:

The role is an executive-level business position responsible for all aspects of the practice 

Operations & Finance 

  • Implement current and new policies and procedures, update as needed, and review with staff
  • Support preparation of budget, liaison with accountant 
  • Prepare a review an analysis of monthly financial statements against the Business & Sales Plan
  • Cost Reduction
  • Ensure daily receivables are reconciled
  • Review vendor invoices for accuracy and mark for posting
  • Ensure staff is scheduled appropriately to balance between patient care and personnel costs.

Personnel Management/HR

  • Approve, set up, and manage PTO, Benefits, and Payroll
  • Ensure new hires are properly trained and onboarded
  • Coordinate staff meetings designed for optimal growth of the practice as well as staff communications
  • Recruit, hire and terminate if necessary
  • Employee supervision including salary review and performance appraisals

Office Management:

  • Closely analyze business metrics and KPIs around sales, profit, lead capture, and conversion
  • Work closely with outside consultants, including marketing (SEO, Social Media, etc.)
  • Develop and Maintain core relationships with vendors, and sales reps to ensure success with products/services/technology and utilizing all savings available
  • Maintain Function Matrix of management and operations and who is responsible
  • Responsible for practice management software, updates, and inputs.
