We are a growing Med Spa looking for an office manager with experience in the med spa industry to manage day-to-day operations. In the role of office manager, you should demonstrate excellent leadership skills, as well as written and oral communication skills. We are looking for a leader who anticipates the needs of the med spa to ensure smooth and successful operation. You must be able to perform well in a fast-paced environment and be able to multi-task to the satisfaction of high-end clients. This position requires knowledge of many technology platforms including QuickBooks Online, Square scheduling, vendor websites, and other automation systems.

The manager will evaluate the current processes for opportunities to improve, hold team members accountable for high-level accuracy, impeccable customer service, and encourage a positive, team-centric environment.

We are looking for an independent individual with proven managerial and leadership skills who strives for excellence by understanding their responsibilities and pushing their team to take ownership of their roles. This professional will teach and support superb standards of serving patients above and beyond the current standard.


  • Manage day- to- day administrative functions of Med Spa including but not limited to patient scheduling, in-take, check-out, billing, vendor point management, medical records upkeep and ensuring all treatment rooms are clean and fully stocked.
  • Develop, implement and document office policies and procedures.
  • Supervise office staff, develop task lists and ensure work is complete.
  • Maintain medical and staff records and ensure HIPAA compliance.
  • Liaise with providers ensuring their needs are met
  • Develop procedures for office cleanliness, treatment room preparation after every patient and overall office organization that will present us in the best way to our clients.
  • Help manage inventory and ensure accuracy
  • Lead one on one and daily team meetings to ensure communication is consistent, clear, and intentional and the current day schedule needs are understood
  • Coordinate provider in- office trainings including invoicing both clients and nurse injectors
  • Be able and willing to step in and support team members as needed.
  • Must be able to make quick and accurate decisions to handle patient issues with the utmost care.
  • Assist with and task staff with social media and internet marketing.


  • College degree or equivalent.
  • 2-3 years proven work experience as an office manager in a medical spa, Plastic surgery or Dermatology office.
  • Knowledge of QuickBooks Online, data and administrative processes and principles.
  • Knowledge of aesthetics, skin care products and esthetician services.
  • Excellent organizational and time-management skills with an emphasis on optimizing scheduling for providers.
  • Ability to multi-task, perform well in stressful situations, and is proactive in problem solving.
  • Adapt and prioritize as consistent changes in processes or additional treatment options are implemented.
  • Excellent communication skills and a customer service focus
  • Skilled in operating and troubleshooting office machines
