Practice Manager, Operations, & Cosmetic Coordinator for Aesthetic Surgery Practice

The position combines staff development, creating culture internally and externally, team building, direct patient communication, as well as client and community education. The right candidate will embrace this opportunity to educate administrative and sales staff to build a cohesive team. The ideal candidate will combine professionalism with leadership skills to increase the efficiency and efficacy of operations and increase quality and quantity of sales, upgrade systems and processes, and to facilitate closure both in-office and with internet based consultations/virtual engagement

Additional responsibilities would include ensuring that our online presence and promotions are cohesive, on brand, effective and consistent with our professional goals and core values.  Equally important is creation and oversight of an accountability process for our team that maintains standards and positive culture.  Lasting and continuous contribution to sales growth and business development are paramount.

A strong candidate will have the ability to create and maintain an efficient system of operation to support the business needs. Applicants should be comfortable multitasking and working cross-functionally with different business units, as well the ability to handle emergencies from time to time.  Previous experience in related fields are highly favorable.

3+ years of experience in a similar role

Proficiency with Microsoft Office

This position oversees the day-to-day operational functions for the medical practice, ensuring that office policies, procedures, and plans are executed in a smooth and expeditious manner. Key responsibilities include financial, office administrative duties, insurance administration, and personnel management.

Job Duties:

Many of the tasks that are business-related can include record-keeping, conducting promotional campaigns, overseeing/maintaining stock inventories.

Employee-related responsibilities include the hiring, training and supervision of staff. Mangers train new employees and arrange staff workshops on new techniques and procedures.

Education and Experience:

·   Three years medical practice experience highly encouraged.

·   Strong administrative background.

·   Extensive experience with practice data processing systems.

Responsibilities:

1.  Financial Responsibility

·   Responsible for posting and adjustments related to patient services.

·   Oversees patient/insurance collections.

·   Enters charges and payments; issues refunds as appropriate.

·   Reconciles week/month payments with POS system.

·   Manages mail sorting, and post office activities.

·   Coordinates computer systems, including software updating and daily backup.

2.  Insurance Administration

·   Ensures regular and accurate electronic claim submissions to insurance companies.

·   Oversees accounts receivable activities.

·   Prepares resubmission of unpaid claims.

·   Prepares applications and updates for payer provider panels.

3.  Practice Management

·   Human resource development.

·   Maintains an effective system for employee personnel files and records ensuring legal documentation.

·   Creates and maintains an ongoing structure for employee orientation and termination.

·   Perform all prospective employee reference checks. Ensure compliance with all government agencies with regard to human resource.

·   Provides leadership, guidance, and organizational expertise to all staff members. Effectively communicates departmental activities to overall staff.  Consciously builds a positive team culture of passion, dedication and accountability

·   Establishes a high performing team of staff that is efficient, knowledgeable, service-oriented, and shares responsibility for attaining the goals of the practice.
